General Information

important note

We know, that you—as a well-informed consumer—are reviewing the following information BEFORE booking your spot at any GIRLtime event. 

if we cancel a girltime event 

If a Grace In Season GIRLtime event must be cancelled in its entirety for any reason on our end, Grace In Season will notify all parties via email and provide refund instructions at that time. 

Chargebacks 

(Refund request(s) directed from your banking institution)

All chargeback notifications received via your banking institution will be considered a cancellation. You will be responsible for covering any returned payment fees issued by your banking institution. All registration documentation will be provided to the banking institution as confirmation of payment application. 

Conferences/Sessions 

non-refundable conference/session tickets

In order to attend an upcoming GIRLtime conference or session, a non-refundable ticket is required. Admittance into a conference or session will not be allowed without prior registration. Please note that even if you have verbally expressed an interest in attending or signed up to receive information about an upcoming conference or session, your seat is not confirmed until you have purchased your ticket. 

why is my ticket non-refundable?

It takes an extraordinary commitment on our part to bring a quality, one-of-a-kind, immersive experience to our attendees. Our vendor(s)—hotels and other event spaces, caterers, retailers, etc.—require upfront commitments that we must adhere to. When we offer a conference or session ticket to you, we have to ensure, through good-faith payments, that you will attend. This is the only way we are able to provide the best experience for our attendees. 

cancellations

We understand that things happen. However, we are unable to refund GIRLtime conference or session tickets. For cancellations made outside of our 2 week prior to event cut-off, we will gladly accept ticket transfers.  

ticket transfers

In the event that you are no longer able to attend a GIRLtime Conference or Session that you have registered for, you may transfer your reservation to another lady. Transfers must be made no later than 2 weeks prior to the event date. In order to make the transfer, the original owner of the reservation must contact us at girltime@graceinseason.com to make the transfer request, and transfers are not considered complete until confirmed in writing by the Grace In Season team. 

Retreats

non-refundable deposit for retreat reservations 

In order to reserve your spot on an upcoming GIRLtime retreat, a non-refundable deposit is required. Please note that even if you have verbally expressed an interest in attending or signed up to receive information about an upcoming retreat, your space cannot be saved and is not confirmed until a deposit is received. 

payment plans and final payments

Payment plans for GIRLtime retreats are available, usually in 4 installments. However, all final payments must be received 1 month prior to the retreat. 

Any reservations made within 1 month of the retreat dates only apply to packages without airfare and will require payment in full at the time of registration; reservation will also be subject to a $50 late processing fee. 

delinquencies

Any payment more than 15 days past due the agreed upon payment plan date, will incur a $50 late payment fee. Grace In Season may also cancel a GIRLtime retreat reservation if the reservation is two (2) payments delinquent. Should Grace In Season cancel the reservation due to payment issue, the terms of this retreat cancellation and refund policy shall apply.  

Cancellations

We understand that things happen. You may cancel your participation in a GIRLtime Retreat at any time, but please be aware of the following cancellation and refund policies:

All deposits are non-refundable. 

We are unable to refund any payment amount for cancellations requested within 4 weeks of the retreat dates. As a valued GIRLtime patron, we are willing to offer a $200 credit toward a future GIRLtime retreat, if cancellation is made between 4 and 2 weeks prior to retreat date. If extenuating circumstances force you to cancel within 2 weeks of the retreat date, a $200 credit toward a future GIRLtime retreat will be considered on a case by case basis. 

Refunds

If you need to cancel, and a cancellation request is made outside of our 4-week prior to retreat cut-off, we will gladly refund your total payment minus your non-refundable deposit.

why are there refund restrictions? 

Your GIRLtime retreat deposit is non-refundable, and we are unable to refund any payment amount for cancellations requested within 4 weeks of the retreat dates. It takes an extraordinary commitment on our part to bring a quality, one-of-a-kind, immersive experience to our attendees. Our vendor(s)—private homes, caterers, retailers, etc.—require upfront commitments that we must adhere to. When we offer a GIRLtime retreat package to you, we have to ensure, through good-faith payments, that you will attend. This is the only way we are able to provide the best experience for our beloved patrons.

Requesting GIRLtime 

If you request to bring GIRLtime to your city, please be aware of our following policies:

Requester's responsibilities

serve as point of contact

We expect that the person making the GIRLtime request will serve as the point of contact throughout the event planning process. 

gather minimum number of participants

The requester (point of contact) is responsible for gathering the minimum number of 15 paying participants. Participants names and contact information (i.e. email address) must be confirmed. Participants are subject to the Conferences/Sessions policy stated above (i.e. non-refundable ticket, cancellations, and transfers). 

confirm date and time

The requester must also confirm event date and time with Grace In Season. 

securing (or suggesting) a girltime approved venue

The requester has the option of either securing a GIRLtime approved venue or suggesting a venue that Grace In Season will secure for the event. Please note that when Grace In Season is responsible for securing the venue the price point per participant will reflect that. 

securing (or suggesting) Girltime approved refreshments

The point of contact may either take on the responsibility of providing approved refreshments/catering for the GIRLtime event, or may simply make suggestions for refreshments or catering that Grace In Season will secure. Please note that when Grace In Season is responsible for securing the refreshments, the price point per participant will reflect that. 

non-refundable deposit

In order to secure and confirm a requested GIRLtime session, a one-time non-refundable deposit of $500 is required. This deposit will go toward the total cost of the session based on the number of participants and individual ticket balances will reflect that. Please note that your requested GIRLtime event is not confirmed until a deposit is received.

It is the requester's responsibility to make the down payment, which may be made out-of-pocket and reimbursed by participants, or can be collected from the participants. If collected from the participants, it is the requester's responsibility to calculate how much each participant must contribute to cover the deposit amount. If requester will be reimbursed by participants, requester is responsible for making those arrangements separately. 

Grace In Season will be considered independent of such matters and in no way be involved in those arrangements.  

why is deposit non-refundable?

When you request a GIRLtime session in your city, we have to ensure, through good-faith payments, that you and the stated number of participants will attend. This is the only way we are able to provide the best experience for valued attendees. 

cancellations & Refunds

We understand that things happen. You may cancel your requested  GIRLtime session at any time, but please be aware of the following cancellation and refund policies:

All deposits are non-refundable. 

We are unable to refund any payment amount for cancellations requested within 6 weeks of the session date. As valued GIRLtime patrons, we are willing to work with you to reschedule a date and time if cancellation occurs between 6 to 4 weeks prior to the event.

If you need to cancel, and a cancellation request is made outside of our 6-week prior to retreat cut-off, we will gladly refund all  payments minus the $500 non-refundable deposit.
